Print or Export from Query Results - Individual Documents

Export COLD Document(s)

The file is stored as a PDF file, and you want to export the documents to a file, not print them. Most scanned images are stored as TIFF files, while documents that are automatically imported are stored as PDFs. If you're not sure, open a document, right-click it, and click Information to determine its format.

Choose "Export COLD Document(s).  Find the directory where you would like to save the document.  Give it a file name.  Choose Save.

Print

You want to print a single document without viewing it.

Choose the Menu Item.  Select the printer and details.  Choose OK.

View as PDF

You want to view the document in PDF form prior to exporting or printing.

Choose "View as PDF".  Once the document opens, you have the option to Save or Print.

Print Selected Document(s)

You want to print multiple documents without viewing them.

Select documents by checking the check box. Choose "Print Selected Document(s)" button.  Select the printer and the number of copies.  Choose whether or not to include the annotations.  Click OK.

Export Selected COLD Document(s)

The file is stored as a PDF file, and you want to export the documents to a file, not print them. Most scanned images are stored as TIFF files, while documents that are automatically imported are stored as PDFs. If you're not sure, open a document, right-click it, and click Informationto determine its format.

Select documents by checking the check box.  Choose "Export COLD Document(s)" button.  Find the directory where you would like to save the document.  Give it a file name. Choose the file type (the default of COLD is usually okay), and choose Save.

Exporting the Documents

These instructions will only work if the document is stored as a PDF file. Most scanned images are stored as TIFF files, so this process will not work for them. Documents that are automatically imported from other systems (like Purchase Orders, which come from FormFusion) are stored as PDFs. If you're not sure, open an example document, right-click it, and click Information to determine its format.

  1. After you hit the export button, you'll be presented with a save dialog. Choose a directory, like your Downloads or Documents folder, to save the exported files in. Click Save.
  2. A window counting the exported documents will display briefly (though for large sets of documents, it may be there for a while).


  3. When it's done, it will ask you if you want to see the Export log. You can click no, but if you encounter problems, trying again and viewing the log can be helpful in tracking down problem documents.


  4. That done, the files will be combined into one PDF file. If there were no PDF documents in those you selected, you will receive this error:

There are multiple ways to print and export documents in BDMS.

Print Current Page

Click the button or choose the arrow to the right of the button and then choose Print.  Select your print options and then select OK.

Click the arrow to the right of the button and then choose Export.  Select the location to save the file and give it a file name.  Select Save.

This option will result in a single page unless working with subpages.  Exported files will be saved in their original file format.

Print Document

Click the button or choose the arrow to the right of the button and then choose Print.  The appropriate option will be chosen on the Print Options dialog box.  Click OK.  Select your print options in the Pring dialog box and choose OK.

Click the arrow to the right of the button and then choose Export.  Select the location to save the file and give it a name.  Select the page range.  Choose whether or not to include the annotations.  Click OK.

This button can be used to print/export all pages in a document or a range of pages.

Menu:  Document

Merge PDF for Print...

Choose menu option.  Document will open.  Click the "Printer" icon.  Choose your print options.  Click OK.

Choose menu option.  Document will open.  Click the "Save" icon.  Locate a location to save the document and give it a file name.  Click Save.

Only works for documents that contain PDF pages.


If you are using Windows 7, you may see errors when trying to print. You can resolve these errors by following these steps.
